Beneficiary Terms & Conditions

All facilities, those that have received Santa Shoeboxes in previous years, and new applicants, are required to complete the on-line Facility Application and Commitment form.

In order to embrace the large number of applications received, our policy is to rotate the facilities that will receive Santa Shoeboxes.

Applications to register as a recipient facility with the Santa Shoebox Project (SSB) must be submitted before 17 April 2014.

Each application is assessed individually at various levels within SSB, and therefor the decision made regarding the acceptance or decline of each application is final. SSB encourages facilities to re-apply the following year should their current application be unsuccessful.

Namelist

Once an application has been approved, the facility representative will be required to provide a list of names of the children attending the facility. This list includes the first name, age, gender and clothing size of each child.

Delivery of Boxes

Delivery of the cartons of Santa Shoeboxes will take place during November and early December each year. The exact date of delivery to the agreed facility address will be advised.

Celebration

The Santa Shoebox Celebration, at which the Shoeboxes are handed to the beneficiary children, will take place within 3 days of the cartons having been delivered to the facility. The exact date and time of the celebration will be agreed between the SSB and facility representatives. Before this date, the facility representative is to ensure that there is a named Shoebox for every child.

  • Open the cartons, but not the sealed Shoeboxes. The Shoeboxes are filled with love by SSB’s donors for the children they chose, so please ensure that the contents remain untouched
  • Check the name on each Shoebox label against the list of children’s names at the facility
  • Use the extra Shoeboxes with unnamed labels as well as those for children who no longer attend the facility, assigning them to any new children at the facility by carefully writing the child’s name on the label
  • Put any spare Shoeboxes aside for collection by the SSB representative
  • Place the Shoeboxes in safekeeping until the date of Celebration, at which time the Shoeboxes may be displayed, ready for giving to the children

Appreciation

After the Celebration, a report must be sent to the SSB representative, including the following items –

  1. 3 – 10 photographs of the children receiving their Shoeboxes
  2. Fewer than 10 thank you cards from the children
  3. A thank you letter from the facility

Commitment and Agreement

As the person completing the application, and as the representative of the facility –

  • You must agree to be the custodian of the Shoeboxes and understand that they remain the property of the Santa Shoebox Project until they reach the hands of the beneficiary children
  • You must agree to be the person responsible for the storage and distribution of the Santa Shoeboxes
  • You must ensure that the children for whom the Shoeboxes are intended, receive them at the Celebration
  • You will be responsible for sending the report, as detailed above, to the Santa Shoebox Project, preferable via e-mail, by 31 January of the following year
